SYSREK Nest

User guide

Everything a committee, resident or staff member needs to run a building on SYSREK Nest. Try each step in the live demo; switch roles with “Viewing as” at the top.

1. Getting started (secretary or treasurer, about 30 minutes)

  1. Sign up with your mobile number and a one-time password. Enter the society name and number of flats; the plan is picked from the flat count. Paid plans start with a 45-day free trial, no card needed.
  2. Billing rules (Settings): fixed charge, rate per sq ft, sinking fund, water rate, late fee and due day.
  3. Flats (Flats & residents → Import): upload a spreadsheet with flat number, area, owner name and mobile, and any opening dues. If a row has a problem nothing is imported and every problem row is listed.
  4. Team (Team & roles → Invite member): add the president, treasurer and others. Each gets a WhatsApp invite and signs in with an OTP.
  5. Society UPI ID (Settings): residents can pay to it directly and report the payment, even before online payments are switched on.

Prefer us to do it? Assisted setup imports your data and trains the committee: a one-time ₹999, free on yearly plans.

2. The monthly cycle

  1. Water: staff enter meter readings; the treasurer approves tanker bills and splits tanker cost across flats.
  2. Bills: Billing → Generate drafts. Check a few, then the treasurer publishes. Every flat gets its bill on WhatsApp with a pay link. Bill numbers never skip or repeat.
  3. Collections: watch Payments & dues. Send reminders from the Reminders tab, or open a ready message in WhatsApp.
  4. Close the month once the bank matches. A closed month cannot be changed; corrections go in as credit or debit notes.

3. Collecting payments

4. Water

Meter readings that look wrong (lower than last month, or far above normal) are flagged for review. Tanker bills need a photo and approval before the cost is split by flat, by area or by usage. Residents see their own usage and the supplier’s bill for every tanker they paid for.

5. Expenses and approvals

Anyone with permission can add an expense with the bill photo. Above the approval limit a second office-bearer must approve it; the person who submitted can never approve their own expense. Paid expenses post to the accounts automatically, with TDS where it applies.

6. Events and funds

Use Events & funds for festivals and for long-term funds. Choose the type Corpus fund or Repair / project fund and set a target. Contributions get their own receipts, and the fund’s progress shows in the monthly report. Event costs can also be added to a month’s bills per flat.

7. Team and roles

Fourteen roles come ready, from president to security guard, each with its responsibilities. If your bye-laws need another (an events coordinator, say), go to Team & roles → Roles & responsibilities → New role, start from an existing role’s permissions and adjust them in the permission matrix. Team management is never copied into a new role. After an election, use Election handover to move each office in one step.

8. Reports

Reports → Monthly report gives one page per month: billed, collected, spent by category, cash and bank, dues by flat and funds. Use Save as PDF to file it or send it to your auditor, or Share summary on WhatsApp to post the key numbers in the residents’ group. Other tabs cover collections, aging, income and expense, tanker usage, meter exceptions, the AGM pack and the full audit log, each downloadable as CSV.

9. For residents

10. For staff and security

Staff see their task list, maintenance jobs and meter readings for the day. Security checks visitor passes at the gate (each pass works once), logs deliveries and receives SOS alerts.

11. Getting help
